eStout Student Coordinator
Job Description
The University of Wisconsin- Stout welcomes your application for a new eStout Student Coordinator career opportunity with our Learning and Information Technology (LIT) Department. The eStout Student Coordinator position involves administrative duties to UW-Stout's unique student laptop program. This position includes data management, reporting, and analysis of student eligibility, as well as overseeing all communication to students throughout the eStout program life cycle. Responsibilities also include coordinating annual laptop events, implementing policies, and providing guidance to students and staff on eStout-related tasks. Some project management and budgetary responsibilities are required. Anticipated start date is April 28, 2025.
QUALIFICATIONS
Required
- Bachelor's degree by employment date
- Excellent verbal and written communication skills
- Sound judgment, including sensitivity to personal and confidential information
- Strong interpersonal communication and customer service skills
- Strong organizational skills
- Working knowledge of standard business software programs especially Microsoft 365, Word and Excel
- Work independently and as part of a team environment on collaborative efforts
Ideally, candidates will demonstrate experience or potential in:
- Experience supporting student success in a diverse higher education environment
- Working with information systems, retrieving and analyzing data -such as Tableau or other data analysis tools
- Experience forecasting and/or managing budgets
- Experience in updating website content
- Experience with Peoplesoft or other Student Information Systems
- Advanced Microsoft 365 skills including mail merging, Excel pivot tables, querying, data analysis, and reporting tools
- Project management experience
- Process improvement experience
- Experience collaborating with supply chain vendors
RESPONSIBILITIES
- Provides administrative duties, including managing all eStout data as it relates to student eligibility in the eStout program.
- Manages all forms of communication with students, regarding the eStout laptop lifecycle (deployments, returns, ownership transfers, change of major) as well as changes to the students' eligibility status and recovery efforts, such as fees and fines.
- Facilitate laptop assignment, exchange, return, and ownership transfer activities.
- Manage and control continuous accuracy of a large inventory of laptops and accessories.
- Serve as a data specialist to produce, analyze and ensure accurate student and laptop data.
- Use multiple information systems to communicate and report accurately. These can include systems such as PeopleSoft, Vanguard Asset Management, Tableau, RDS, WISER, UWBI, Helpdesk/ITSM, and lmageNow, WorkDay.
- Assist with annual planning of inventory purchases/returns and buyouts, working closely with purchasing, laptop vendors, financiers, and Vanguard.
- Help coordinate annual laptop events and participate in other campus activities to promote the eStout Program. May involve some evening and weekend work.
- Manage, review and provide oversight of the eStout Student Laptop Computer Agreement and eStout Policies and Procedures.
- Administrator, monitor, and audit student laptop charges and holds on student accounts as they relate to the eStout Student Laptop Computer Agreement.
- Initiate recovery procedures for non-returned laptops including communication in a variety of forms with the student to ensure the return to current inventory.
- Work with the Business Manager on eStout related requisitions, payments, invoicing, leasing and other financial responsibilities.
- Review and update eStout Student Laptop Computer Agreement, Laptop Receipt Acknowledgement Form and eStout Laptop Transfer Agreement to best serve the needs of the eStout Program and the students.
- Serve as the eStout Website administrator.
- Assist in developing and providing training to Technology Help Desk student and staff employees on the eStout program business processes and details.
- Some process improvement and project management responsibilities may be part of the position.
- Develop and implement strategies that optimize laptop inventory efficiencies and improve processes as necessary.
- Identify, retain, and communicate accurate data and information that may affect the eStout program, and guide decision making related to eStout operations and business practices.
- Other duties as assigned.

ADDITIONAL INFORMATION
The minimum annual starting salary for the eStout Student Coordinator is $50,000, commensurate with finalists' qualifications and experience.
