The University Library at UW-Stout is seeking a part-time (50%) Administrative Assistant to join our staff. This administrative assistant position performs a combination of administrative duties in support of the University Library, including Instructional Resources Service and Archives. Major responsibilities include customer service and administrative duties, scheduling, communication, and coordination of shared work of University Library subunits. In addition, this position provides purchasing support; participates in library activities, committees, and events; and facilitates the recruitment of University Library personnel. The position performs tasks in the Library Administrative office and reports to the Library Director. Hours for the position will be determined based on candidate preference and unit needs and will fall between 8:00am – 5:00pm Monday-Friday.

Minimum / Required

  • Excellent verbal and written communication skills.

  • Excellent interpersonal and customer service skills.

  • Excellent judgment including sensitivity to personal and confidential information.

  • Working knowledge of computers and standard business software programs (e.g. word processing, spreadsheets) and the Internet.

Highly Desired

  • Good work habits, such as attendance, punctuality, accountability, thoroughness, and ability to prioritize work.

  • Ability to work independently and as part of an inclusive team environment and collaborative efforts with diverse user groups.

  • Experience in a library, education, or governmental environment.

  • Attention to detail, proofreading, and editing skills.

  • Experience with collaborative technologies, such as Microsoft Teams.


  • 50 % Library Administration Office Operations - Provides administrative support for the University Library Director and University Library Units. Serves as the initial business contact for the unit. Schedules meetings, maintains documents and meeting minutes, assists with data collection and monitoring deadlines.

  • 15% Building Support – Assists with building access, meeting room scheduling, and mail.

  • 15% Customer Service – Assists with scheduling and planning library-hosted events, participates in library events and promotion, serves on library committees.

  • 10% Budget and Purchasing Support – Makes purchases for the library as requested.

  • 10% Recruitment – Manages and facilitates the recruitment of Library, Instructional Resources Service, and Archives staff as needed.

The hourly rate for this position is based on experience and available budget. A six-month probationary period is required. The UW System provides an excellent benefits package including participation in the Wisconsin State retirement plan to eligible individuals.
