JOB DUTIES:

The UW-Stout Registration and Records office is looking for a part-time limited term employment Registration Assistant (office associate) for the front reception area. The hours for this year round position are 20 hours per week, Monday to Friday, afternoons 12:30pm – 4:30pm. The hourly wage is $13.50/ hour. This is a renewable part-time position as long as there is budget available.

Registration Specialist (25%)

Responsible for inputting updates of student data into SIS as it pertains to:

1. Student course adds and drops a. Must be familiar with add/drop policy, withdrawal & cancellation policies and drop/add deadlines to make proper judgments when entering data b. Must be helpful, friendly and diplomatic when dealing with faculty and students

2. Knowledgeable of procedures to make proper judgments when entering data for the following: a. Student registrations (program/add/drop cards, registration forms, 1st day drop cards) b. Credit/noncredit cards c. First day drop cards d. Audit cards e. Change of Grade cards & grade reports f. Program overload cards g. Course repeat cards h. Bio Demo change cards (name, address, SSN, race/ethnic)

Assist Registration Coordinator Imaging (25%)

1. Document the imaging, quality assurance, and linking procedures.

2. Image all documents for registration and record changes

3. Process registration & record change documents via the ImageNow workflows.

Transcript Verification & Rebuilds (25%)

1. Verify and rebuild transcripts from conversion into PeopleSoft to make sure the transcript converted correctly for 100% accuracy. Updated Aug. 2019

2. Fix any errors from conversion on transcripts in PeopleSoft.

Receptionist (10%)

1. Answer student and faculty inquires

2. Hand out registration materials and explain registration procedures

3. Be knowledgeable of all front office functions to provide backup & front line assistance in all office functions such as processing transcripts, registration, etc.

4. Be knowledgeable of overall university functions to provide accurate channeling of inquiries

Back-up Transcript & Verification Services (10%)

1. Back-up transcript & enrollment & degree verification services when needed. Process transcripts and verifications when transcript coordinator & registration coordinator are N/A.

All other Duties as Assigned (5%)
